PROJECT EXECUTIVE, SPIRITUAL EVENTS

The Spiritual Events department will plan, organize and execute both the Spiritual and Monastery events to create public awareness and interest in Buddhist teaching and practices for different levels of understanding.

Duties and Responsibilities

  • Plan, coordinate and execute both departmental and Monastery events
  • Handle public calls and email enquiries on event matters
  • Provide administrative and logistic support
  • Monitor safety aspects of events organized
  • Maintain good relationship with volunteers

 

 Job Specifications

  • Candidate must possess at least Diploma in Project / Event Management or related fields with 2 years of relevant experiences
  • Effective communications skills (both written and spoken) in English and Mandarin (to liaise with Mandarin speaking associates) is pre-requisite

ADMINISTRATIVE ASSISTANT (PART-TIME)

Duties and Responsibilities

  • Perform general administrative support to Headquarter, Membership department and online business
  • Generate membership report for management
  • Compile documents of inter-related department for submission and archiving
  • Other ad-hoc administrative duties as assigned
  • Support Monastery’s events and activities when required

ADMINISTRATIVE ASSISTANT, PURCHASING

Duties and Responsibilities

  • Request for quotations, compile and discuss with Senior Procurement Executive (SPE)
  • Arrange appointments between users and vendors for discussion
  • Manage and follow up on correspondences/emails to users and vendors
  • Managing filing within the system
  • Follow up with vendor on work in progress and keep SPE informed of the status
  • Monitoring of contractor performance and give feedback or discuss with SPE
  • Following up on completion duties, approvals, invoices and submission of documents to Finance including but not limited to scanning and filing
  • Maintain good records of Service and Works Order

Duties and Responsibilities

  • Provide administrative support for academic programme(s)

  • Assist in maintaining the order and cleanliness of Store department according to 5S standard

  • At least 2 years of relevant working experience

CUSTOMER SERVICE ASSISTANT, ANCESTRAL HALL (PART-TIME)

Duties and Responsibilities

  • To attend to customer enquiries
  • To assist customers with Ancestral rituals / prayers / chanting and tablet placement
  • To clear prayer items after Ancestral rituals / prayers / chanting
  • To monitor the functionality of hall equipment and report for any breakdowns
  • To maintain the order and cleanliness of the Ancestral Hall

ASSISTANT MANAGER, COUNSELLING & SOCIAL SERVICE

Duties and Responsibilities

  • Assess, identify and chart the direction of the department in accordance to the vision of the Monastery
  • Plan, develop, implement, co-ordinate and evaluate new programme initiatives that meet the needs of the community and evaluate it periodically
  • Manage and ensure that counselling and social services are planned and conducted according to the guidelines of relevant professional standards and ethics
  • Identify professional training needs and recommend relevant trainings to the team members so as to keep abreast with the relevant professional standards
  • Provide clinical supervision including case consultation, guidance, review of clinical case notes/recordings, clinical guidance and feedback to staff and volunteer counsellors
  • Recruit, manage, supervise and support the team through regular meetings, case discussions and peer supervision sessions
  • Manage community information and referrals and assign cases to suitable counsellors and social workers/caseworkers
  • Evaluate and oversee case recordings to identify risk and monitor clients’ progress
  • Conduct walk-in & phone intake of information & referral (IR) for new clients as part of the clinical team
  • Provide regular updates and feedback to the Management through periodical reports

Job Specifications

  • Possess at least Master’s Degree in Counselling/Psychology with counselling supervisory certificate

MARKETING EXECUTIVE

Duties and Responsibilities

  • Development and execution of a comprehensive and effective marketing and communication strategy, that supports the organisation’s mission, vision and priorities, to positively represent and promote KMSPKS and its programmes, services and events to internal and external audiences
  • Leverage consumer insights to effectively segmentise and target key audience groups
  • Work with advertisers for timely and useable ad submissions
  • Ensure that the implementation of KMSPKS’ branding and marketing plans are aligned to the Monastery’s policies and guidelines. Develop and track marketing success criteria and metrics
  • Prepare and manage annual marketing budget to ensure a smooth and robust plan is in place
  • Originate & distribute all organisation communications content including marketing and promotional materials, memos, articles, alerts, digital communications, web content etc
  • Copywriting, editing, proofreading and translation (Eng & Chi) of all organisation communications materials
  • Handle and manage all sponsorship requests
  • Source and leverage on strategic partnerships to increase mileage of Monastery’s activities
  • Build and manage the company’s social media profiles and presence, including Facebook, Instagram, Youtube, Twitter, LinkedIn, and additional channels that may be deemed relevant
  • Create shareable content appropriate for specific networks to spread both our brand and our content
  • Curate monthly content calendar to ensure all content on Monastery’s social media platforms keep to brand guidelines and tone of voice

  • Setting up and clearing of utensils, tables and chairs at F&B for monastery events and ad-hoc requests
  • Packing rice daily
  • Cleaning and tidying up dining areas
  • Stocking up consumables and condiments when necessary
  • Serving lunch and transferring cooked food into containers
  • Assisting at counter / food stalls for sales of mixed veggie rice, rice dumplings etc. during weekends and festival periods
  • Ensuring the tea/water level in the dispenser at water station is maintained and paper cups are replenished when necessary
  • Clearing the leftover food bins
  • Other general / ad-hoc duties assigned by superior

  • Experience in F&B environment and able to communicate in English and Mandarin to manage Mandarin speaking public
