SENIOR HR MANAGER / HR MANAGER

We are seeking a self-driven individual to run the HR department in a renowned Buddhist organization with more than 200 staff. This is a contract assignment on a 9 months’ basis with the opportunity to be converted to a permanent position.

Duties and Responsibilities

  • Provide strategic HR leadership and governance to the organization as well as develop HR practices that are appropriate and aligned to organization culture and values.
  • Provide inputs, lead the implementation of various HR initiatives and identify areas for improvement to build a robust HR process and system.
  • Ensure an open line of communication while supporting the line managers and employees on HR matters
  • Build and foster a culture of highest level of accountability and integrity as well as a collaborative work environment
  • Responsible for full spectrum of HR portfolio, not limited to compensation & benefits, talent acquisition & retention, training, employee relations, performance management, manpower planning and payroll.

 

Job Specifications

  • Candidate should possess a minimum of 10 years’ HR experience with a Bachelor’s Degree in Human Resources or its equivalent.
  • Have prior experience in a NGO and/or working with both white and blue collars workers would be advantageous
  • A self-starter, highly resourceful. Have the ability to engage stakeholders quickly and in flexible approaches
  • A strong team player. Able to collaborate with peers and yet maintain the independence to manage people issues raised by line managers
  • Possess strong interpersonal and advisory skills. Able to build excellent rapport with all levels of staff and to deal effectively with them to help in problem solving.

SOCIAL SERVICE ASSOCIATE / EXECUTIVE

The programme executive role includes managing information and referrals, planning, designing and implementing programmes that meet the needs of clients, providing administrative support for the clinical team.

Duties and Responsibilities

  • Attend to service phone line and email enquiries about counselling & social service
  • Conduct phone intake of information & referral (IR) for new clients
  • Provide administrative support in areas of database administration, data entry and filing, keeping and generation of report case recordings as well as statistic generation and reporting
  • Provide welfare and administrative support to volunteers and intern counsellors
  • Attend team meeting, case discussions and group supervision as required
  • Undertake any other duties assigned by the management

ASSISTANT MANAGER, COUNSELLING & SOCIAL SERVICE

Duties and Responsibilities

  • Assess, identify and chart the direction of the department in accordance to the vision of the Monastery
  • Plan, develop, implement, co-ordinate and evaluate new programme initiatives that meet the needs of the community and evaluate it periodically
  • Manage and ensure that counselling and social services are planned and conducted according to the guidelines of relevant professional standards and ethics
  • Identify professional training needs and recommend relevant trainings to the team members so as to keep abreast with the relevant professional standards
  • Provide clinical supervision including case consultation, guidance, review of clinical case notes/recordings, clinical guidance and feedback to staff and volunteer counsellors
  • Recruit, manage, supervise and support the team through regular meetings, case discussions and peer supervision sessions
  • Manage community information and referrals and assign cases to suitable counsellors and social workers/caseworkers
  • Evaluate and oversee case recordings to identify risk and monitor clients’ progress
  • Conduct walk-in & phone intake of information & referral (IR) for new clients as part of the clinical team

M & E EXECUTIVE

Duties and Responsibilities

  • Perform general administrative duties
  • Assist in planning duty roster for technicians
  • Co-ordinate with departments for M&E services and project-based works
  • Liaise with external contractors for M&E related works
  • Monitor the operation of Public Address (PA) system
  • Assist in purchasing spare parts for M&E services if necessary

  Job Specifications

  • Candidate must possess Diploma in Mechanical / Electrical Engineering or its equivalent Professional Certificate
  • 3 years of relevant experience
  • Have basic knowledge in managing M&E facilities and system

M & E TECHNICIAN

Duties and Responsibilities

  • Carry out general inspection and rectification works to M & E equipment, lighting, pipe works, sound system etc
  • Responsible for general maintenance, repair and minor installation works
  • Assist to take meter reading for water and electricity consumption
  • Supervise contractors carrying out routine servicing and installation works
  • Perform store check, general filing and administrative tasks
  • Support Monastery’s events and activities as assigned by Supervisor

  • Min. 5 years of relevant experience or NTC 2 & 3 or ITC certificate in M & E service (Electrical / Electronic)

MARKETING EXECUTIVE

Duties and Responsibilities

  • Development and execution of a comprehensive and effective marketing and communication strategy, that supports the organisation’s mission, vision and priorities, to positively represent and promote KMSPKS and its programmes, services and events to internal and external audiences
  • Leverage consumer insights to effectively segmentise and target key audience groups
  • Work with advertisers for timely and useable ad submissions
  • Ensure that the implementation of KMSPKS’ branding and marketing plans are aligned to the Monastery’s policies and guidelines. Develop and track marketing success criteria and metrics
  • Prepare and manage annual marketing budget to ensure a smooth and robust plan is in place
  • Originate & distribute all organisation communications content including marketing and promotional materials, memos, articles, alerts, digital communications, web content etc
  • Copywriting, editing, proofreading and translation (Eng & Chi) of all organisation communications materials
  • Handle and manage all sponsorship requests
  • Source and leverage on strategic partnerships to increase mileage of Monastery’s activities

FRONT LINE ASSISTANT

Duties and Responsibilities

  • Safeguard the properties in the monastery include but not limited to crematorium / columbarium
  • Ensure that fire safety practice is followed
  • Perform crowd control duties to ensure no blockage
  • Perform traffic control to ensure safety of the devotees
  • Operate of the carpark barrier to ensure only authorized vehicles driving into the crematorium carpark smoothly
  • Collect vegetarian sets and staff rations (lunch) from Kitchen

VOLUNTEER EXECUTIVE

Duties and Responsibilities

  • Assist in implementing effective and responsive volunteer management services

COUNSELLOR (PART TIME), COUNSELLING & SOCIAL SERVICE

As a part time counsellor, provide direct clinical services to clients, adhering to the professional standards and guidelines of counselling work. Involved in networking with relevant stakeholders and organisations, conducting relevant training, workshops or talks for volunteers and public.

Duties and Responsibilities

  • Cleaning, drying and storing kitchenware
  • Setting up and clearing of utensils, tables and chairs at F&B for monastery events and ad-hoc requests
  • Packing rice daily
  • Cleaning and tidying up dining areas
  • Stocking up consumables and condiments when necessary
  • Serving lunch and transferring cooked food into containers
  • Assisting at counter / food stalls for sales of mixed veggie rice, rice dumplings etc. during weekends and festival periods
  • Ensuring the tea/water level in the dispenser at water station is maintained and paper cups are replenished when necessary
  • Clearing the leftover food bins

MAINTENANCE ASSISTANT CUM CARPENTER

To handle the carpentry work in the Monastery, installations, corrective and maintenance.

Duties and Responsibilities

  • To understudy the current carpentry contractor with regards to all carpentry work and procedures for monastery events
  • To maintain and update maintenance records & documentations
  • Responsible for day-to-day maintenance and cleaning, conduct checks on installations, trouble shooting, preventive and corrective wooden furniture maintenance works
  • Support event in the Monastery, e.g. setting up of praying fixtures
  • Perform minor adjustment on room furniture, fixtures and other items at our properties
  • Handles rectification and maintenance works

 Job Specifications

  • Minimum 5 years carpentry experience
  • Professional certification in carpentry will be an advantage
  • Must be able to lift and carry up to 20 kg without assistance
  • Bilingual in Mandarin and English is preferred to liaise with Mandarin-speaking associates
  • Able to walk, stand, climb, kneel, reach, push, pull and twist as required during majority of the day
